Using My Recruiting
How to track programs, manage contacts, log interactions, and stay on top of your recruiting process with the My Recruiting tools.
My Recruiting is a full recruiting CRM built for players. It lets you track every program you're interested in, manage your contacts at each school or team, log interactions, track events, and score each program's fit — all in one place. It's available to Pro players.
Adding a program
Go to Recruiting → Programs and click + Add Program. You can add programs two ways:
- From ScoutEvo — search for the team or organization by name. If they have a page on ScoutEvo, linking to it means their events and staff will sync automatically.
- Manually — enter the name, type, and location yourself. Use this for programs that aren't yet on ScoutEvo.
Tip
Even if a program doesn't have a ScoutEvo page yet, you can still track them manually and everything else (contacts, events, fit scores, notes) works the same way.
Program status
Each program has a status that reflects where you are in the process. Update it as things progress:
- On My Radar — you're aware of them but haven't reached out yet
- Reached Out — you've sent a message or inquiry
- In Contact — you're actively communicating with someone at the program
- Tryout / Camp Invited — you've been invited to a tryout or camp
- Offer Received — you have an offer on the table
- Committed — you've committed to this program
- Not Pursuing — you've decided not to pursue this program
Every status change is automatically logged in the interaction history so you have a record of your timeline.
Priority
Set each program to High, Medium, or Low priority. High priority programs show a colored left border in the list view so your top targets are always visually distinct.
Next Step
Set a "Next Step" on each program — a short note on what you need to do next (e.g., "Follow up with Coach Williams about visit dates"). Add a due date and ScoutEvo will flag it as overdue if you miss it. The overdue count also appears in your recruiting snapshot.
List view vs. Kanban board
You can view your programs two ways — switch with the toggle at the top right of the Programs tab:
- List view — a scrollable list sorted by priority and status, good for detailed reading and quick edits
- Board view — a Kanban board with one column per status. Drag and drop programs between columns to update their status instantly. You can hide columns you don't use. Works on mobile with a press-and-hold drag.
Tip
The board view is great for a quick visual overview of where every program stands. The side panel lets you edit everything without leaving the board.
Staff contacts
Track the coaches and staff you're in contact with at each program. Open a program and go to Staff Contacts:
- If the program is linked to a ScoutEvo page, staff from that page are added automatically
- You can add contacts manually (name + role) or link them to their ScoutEvo profile
- Linked contacts show their last message time and a direct link to open your conversation
Program fit scoring
Rate each program across five categories: Location, Playing Time, Coaching, Academics, and Financial. Each is scored 1–5 and ScoutEvo calculates a weighted overall fit score. Use this to objectively compare programs when you have multiple offers or options.
Events & tryouts
The Events section on each program shows upcoming tryouts, showcases, and camps. If the program has a ScoutEvo page, their posted events appear automatically. You can also add your own events manually.
For each event, set your attendance status: Attending, Interested, or Declined. Events you're Attending or Interested in also appear in the Upcoming Events widget on your main Recruiting page so you always have visibility into what's coming up.
Interaction log
Log every touchpoint you have with a program — calls, emails, text messages, campus visits, meetings, and tryouts. Each log entry records the type, date, which contact it was with, and your notes. This creates a full history so you never forget what was said or when.
- Click + Log Interaction in the Interaction Log section
- Select the interaction type and date
- Optionally link it to a specific contact
- Write your notes and save
Private notes
Each program has a private notes field — a free-form area for impressions, gut feelings, things a coach said, or anything you want to remember. These are only visible to you, never shared.
Upcoming Events widget
The main Recruiting page shows an Upcoming Events panel with a summary of all events across all your programs that you've marked as Attending or Interested. This gives you a single view of your calendar across your whole recruiting pipeline without having to open each program individually.
