Using the recruitment pipeline

Manage your full recruiting workflow with a Kanban board — stages, player cards, notes, next actions, and sharing.

The Pipeline is a Kanban-style recruiting CRM — think of it as a visual board where each column is a stage in your process and each card is a player. It gives you a clear picture of where every prospect stands at all times.

Note

The Pipeline is available on the Pro plan.

Understanding the board

When you open the Pipeline you'll see columns (stages) running left to right. Players move from left to right as they progress through your recruiting process. Default stages are:

  • Identified — on your radar, not yet contacted
  • In Contact — active communication underway
  • Evaluating — formal evaluation in progress
  • Offer Out — offer has been extended
  • Committed — player has committed

Tip

You can rename, reorder, add, and delete stages to match exactly how your program works. Go to Pipeline settings (gear icon) to customize.

Adding a player to the pipeline

There are two ways:

  • From a player's profile — click Add to Pipeline on any player profile and select the stage
  • From within the Pipeline — click + Add Player on any column and search by name

Player cards

Click any card to open the player detail panel. From here you can:

  • Add notes — free-form private notes about the player
  • Next actions — set a follow-up task with a due date (e.g., "Call parent – Friday")
  • Activity log — record calls, emails, in-person visits, and game observations with timestamps
  • Offer details — track offer amount, deadline, and status
  • View full profile — jump to the player's ScoutEvo profile
  • Send message — open a direct message conversation

Moving players between stages

Drag and drop a card from one column to another as a player progresses. On mobile, open the card and use the Move to stage dropdown.

Next actions & follow-up tracking

Next actions help you stay on top of follow-ups. Set a next action with a due date on any player card. When the date arrives, the card shows a red or amber visual indicator directly on the board so overdue follow-ups are always visible.

Scouting events

Track tournaments and events under the Scouting Events tab in the pipeline. Add players to an event roster and log your observations per player per event. You can also start one from any event on the Events board with Start a scouting log. Verified staff get it pre-filled with the players attending.

Analytics

The Analytics tab shows pipeline metrics — how many players are in each stage, average time in stage, offer conversion rates, and more. Useful for end-of-season reporting.

Sharing the pipeline

Share your pipeline with colleagues using the Share button. Assign View or Edit access per person. This is useful for coordinating with assistant coaches or co-scouts.

Side-by-side comparison

Select two players on the board and click Compare to view their profiles, stats, and your notes side by side. Useful when making final decisions between candidates.
