Getting started as a staff user
A quick overview of ScoutEvo for coaches, scouts, GMs, and advisors — what to set up first and where everything lives.
ScoutEvo is built around two things for staff: finding the right players, and keeping your recruitment organized. This guide walks you through the essentials to get up and running.
Step 1 — Complete your profile
Your profile is how players and colleagues identify you on the platform. Go to Profile → Edit Profile and fill in:
- Role & headline — your title and a one-line summary (e.g., "Head Scout, USPHL Premier")
- Experiences — your current and past positions. Mark your current role as Current so it shows on your profile header.
- Bio — a short paragraph about your background and what you look for
- Profile photo — adds credibility when reaching out to players
Tip
A complete profile significantly increases response rates when you message players. Players are more likely to respond to someone they can verify.
Step 2 — Set up your organization page
Organization pages represent your team or program on ScoutEvo. Go to Pages in the nav, then Create Page. You can add your logo, a description, and post updates. Players can follow your page and affiliate with your roster.
All staff accounts can create up to 25 organization pages.
Step 3 — Explore players
Use Find Players in the top nav to search for players. Filter by position, level, league, location, shooting hand, and age. Click any player to view their full profile — stats, highlights, team history, and contact info.
Step 4 — Start tracking with Scout Lists
Scout Lists are your way to organize groups of players — by position, by event, by region, or however you work. Find them under Recruiting → Lists. Create a list, add players, and write notes per player. Pro accounts can export lists to PDF or CSV and share them with colleagues.
Step 5 — Use the Pipeline for active recruitment
The Pipeline (Pro plan), under Recruiting → Pipeline, is a Kanban-style CRM for managing your full recruiting workflow. Move players through stages like Identified → In Contact → Offer Out → Committed. Each card supports notes, next actions, and a full activity log.

Contacting minor players
ScoutEvo automatically flags players under 18 as minors. When you connect with or send a first message to a minor player, a notification email is sent to their parent or guardian — you'll see a notice before you proceed. This is disclosed to you in advance and is part of ScoutEvo's commitment to youth player safety.
Note
Parents can freeze new staff contacts at any time from their parent portal. If your connection request or message is blocked, it means the parent has restricted new contacts for that player.
