Parent & guardian guide to ScoutEvo

How ScoutEvo protects minor players, what parents are notified about, and how to use the parent portal to stay in control.

ScoutEvo is used by players of all ages — including youth players who are under 18. This guide explains how we protect minor players and what tools are available to parents and guardians.

How ScoutEvo identifies minor players

When a player signs up, they provide their date of birth as part of their profile. ScoutEvo automatically flags any player under 18 as a minor. This happens in the background — no extra step is required from the player or parent.

When a minor player turns 18, the flag is automatically removed and their account transitions to a standard player account with no changes to their data or settings.

What parents are notified about

If a minor player has a parent email on file (added by the player during signup or profile setup), parents receive an automatic email notification in two situations:

  • First staff connection — when a scout, coach, or advisor sends a connection request to the player for the first time
  • First direct message — when a staff member sends a direct message to the player for the first time

Notification emails include the name and organization of the staff member, and a link to the parent portal where you can review the contact and manage your child's settings.

Tip

Notifications are sent once per staff member — not for every message after the first. If you want to review all current contacts at any time, use the parent portal link in any notification email.

The parent portal

Each notification email includes a unique link to your child's parent portal. The portal does not require a ScoutEvo account — it's accessible via the link only.

From the parent portal you can:

  • View your child's name and basic profile info
  • See a full list of staff members who have connected with your child — including their name, role, and organization
  • Freeze new staff contacts (see below)

Freezing new staff contacts

If you want to pause new scouts or coaches from reaching out, you can use the Freeze new contacts button in the parent portal. When frozen:

  • New connection requests from staff are blocked
  • New direct messages from staff are blocked
  • Existing conversations and connections are not affected

You can unfreeze at any time from the same portal. There is no limit on how many times you can toggle this setting.

Note

Freezing affects new staff-initiated contacts only. Your child can still use all other ScoutEvo features, including their profile, recruiting tools, and any existing conversations.

Who can contact players on ScoutEvo

Only users with a staff account — coaches, scouts, GMs, and advisors — can initiate contact with players. Staff accounts are separate from player accounts and are created as a distinct account type at signup.

All players control who can message them through their privacy settings — options are Everyone, Connections only, or Nobody. Free players can initiate up to 5 new conversations per month; Pro players have unlimited messaging. These limits apply regardless of whether the staff member is verified.

Requesting account deletion or data removal

If you would like your child's account deleted or their data removed, you can request this directly from the parent portal using the “Request account deletion” link, which opens a pre-filled email to our support team.

You can also email privacy@scoutevo.com directly. We will process deletion requests within 30 days in accordance with our Privacy Policy.
